What are the Advisory Groups and Task Forces?

There are five Advisory Groups focusing on overarching themes that are important for the realisation of EOSC which consist of Task Forces with members working on specific topics related to each of the Advisory Groups:

How are the Task Forces being set up?

The Task Forces are being set up in two stages. The first stage involves the recruitment and work of members to draft the charters which will define the scope and activities of the Task Force. The charter drafting is led in the first stage by four coordinators selected by the Board from Task Force members. The second stage involves the recruitment and work of members to actually implement the activities defined in the charters. The implementation of the Task Forces will be led by two co-chairs from the Task Forces who will be proposed by Task Force members and then appointed by the Board.

When will the charters be finalised?

The draft charters will be finalised by 11 June 2021 and will be published online on the Association website [https://www.eosc.eu] before the EOSC Symposium 2021 taking place on 15-18 June 2021. The Board will review and approve the charters in June 2021 and will take into account comments arising from the EOSC Symposium and overlaps between the Task Forces. The membership of the EOSC Association will also be asked to formally endorse the topics of the Advisory Group by written agreement in July 2021.

How do the Task Forces liaise with the Board?

Two Board members are assigned to each of the Advisory Groups to act as a liaison between the Task Forces in their Advisory Group and the Board.

Who are the members of the Task Forces?

This is still to be defined but will be agreed by September 2021. Much depends on the rules defined by each Task Force. Some will restrict the size to 25-30 members whilst others will not set a limit in membership. The Board will select the members in collaboration with the charter drafting coordinators. The open call for drafters of the Task Forces in March 2021 resulted in 255 applications. The Board nominated four coordinators per Task Force to steer the work and assigned applicants to a single Task Force ensuring balance in expertise, preference of applicants for specific Task Forces, gender, and organisations. Now that the charters have been drafted, a second call for members will be issued in June 2021 which will be open to both the membership of the EOSC Association and the wider EOSC community.

Do I need to reapply as a member if I was accepted as a charter drafter?

Yes. All charter drafters will need to reapply if they are interested in being a member of a Task Force. You may further wish to update your personal preference for a Task Force in response to the skillset and selection criteria published for your preferred Task Force. If multiple applications are received for any individual, the finalĀ  submission will be deemed authoritative.

Do I need to formally apply if the membership of a Task Force is open?

Yes. You need to apply so that all members of the Task Force match the skillset and selection criteria for that Task Force and so that we have a record of the names and contact details of all members of the Task Forces.

When will the Task Forces be established?

The call for members of the Task Forces in the second stage will be during the EOSC Symposium 2021 and will be open for one month until mid July 2021. The Board will take one month to process the applications and decide on the members. All of the Task Forces will be established by September 2021.

Who will chair the Task Forces?

The Task Forces will be chaired by two co-chairs (one male and one female) who will be proposed by members of the Task Forces whereby all members can propose themselves as chair. The Board will then appoint the co-chairs.

How long will the Task Forces run?

The first Task Forces will start in September 2021 and will run for two years. New Task Forces may be created depending on the need for a specific topic.

Will there be funding for activities in the Task Forces?

As the Association is currently being set up and needs to generate income from membership in the first year, there is no budget foreseen in the first months for conducting studies or supporting activities in the Task Forces. The Board will discuss if there could be support from projects in the first months.

How will the Task Forces interact with each other?

The Board liaisons will act as bridges between the Task Forces in a specific Advisory Group. The Task Forces can reach out to other Task Forces to discuss overlaps and dependencies. A workshop will be organised for all Task Forces in September 2021 to discuss collaboration between Task Forces.
